Create user accounts for different regions

The intent of this article is to guide Merchant and Merchant managers.

Separate Users are required for each currency type. This is a system limitation related to billing practices.

Why are multiple Users required?

Refund credits are given in a local currency and invoices are billed in that same currency, following easy and best practices in accounting. Each operating company is managed as its own cost center and following best practices in accounting procedures.

When is it okay to have invoices from multiple countries in a single User account? Only when invoices are consolidated by the carrier into a single currency type is the management of shipping profile from different operating regions are allowed to be created within a single user account. 

How to create multiple users

There’s a system limitation of one unique email address. To counter this, email forwarders are great to use.

Directions on creating an email forwarder

A strong recommendation for merchants is to manage email forwarders using google domains. The ease of use here to create email forwarders is much better than other providers (GoDaddy, etc.).

Point the email address to the customer email address that’s associated with current stakeholders (the contacts the company that are receiving messages currently).

Pro tip: Include reference to the country within the email address. This will provide more context when looking at a given user in the system. Example: germany@example.com, where Germany in the country and example.com is the domain name that is managed within the email forwarder in use.

With the email address in hand, you can create the user following the normal Create User workflow procedures.

Helpful tips in managing each User

  1. The best approach is to provide the customer with the logins for each account in a single digest email. This way the information is available in a single document that can be referenced in the future.
  2. Check the settings on each to be sure that the currency type is set to the same currency type that is specified on the carrier invoices included for that customer account.
  3. Include the stakeholder email addresses within the billing and notification email recipients cards on the Edit User page.
